JOB DESCRIPTION

In a context of continuous improvement where initiative and teamwork are strongly encouraged, the office clerk must prepare, print documents and perform data entry. He/she is called upon to perform various general office tasks in accordance with established methods in order to allow the design department to be more efficient by supporting clerical activities.

He/she will also participate in the production of orders that do not require drawings or design.

The design team works in conjunction with the estimating team and the production team.

ROLE AND RESPONSIBILITIES

The incumbent is responsible for accurately representing the corporate image and culture and acting in a professional manner.

The incumbent is responsible for delivering work of the highest quality. He/she is responsible for gathering information that will allow him/her to maintain his/her level of knowledge of the established processes while respecting the requirements of the clients, considering that any error will result in unjustifiable costs.

He/she must make sure to meet the established deadlines in order to satisfy the customers.

The incumbent is responsible for raising any anomaly and notifying his immediate supervisor, acting with judgment and taking the necessary actions to rectify the anomalies.

DUTIES RELATED TO THE POSITION

Clerical duties:

  • Photocopy and staple production documents for distribution
  • Perform data entry in Access for order planning/management
  • Distribute production drawings to appropriate departments
  • Perform filing
  • Place stationery orders
  • Respond to production requests: lost/missing drawings/CSA, corrections on production orders, …
  • Printing of plans
  • Perform all other related tasks associated with the position.

Planning/Coordination Tasks:

  • Substitute/support for production planning (occasional).

Production tasks :

  • Putting into production / shipping kits for projects
  • Production of various parts: “Riser walls”, steel sheets

SPECIFIC JOB REQUIREMENTS

  • Proficiency in the Office suite (Excel, Word, Office, Outlook)
